Google Meet auto-notes flip on tomorrow for Business Standard and Plus — check your settings today

What happened

Google said the new Google Meet “Take notes for me” admin and end-user settings start affecting users on 29 September 2026. Admins can now choose automatic notes for every meeting, turn them off, or limit them to meetings with three or more people.

For Business Standard and Business Plus (the plans many UK and Irish small firms already buy), that “3+ guests” option is ON by default. Enterprise Standard, Enterprise Plus, Frontline Plus and Google AI Pro for Education stay OFF by default. End users can later override the org default in Meet settings once the rollout reaches them.

Separately, “Quick notes” is already live as the default one-page summary in the notes Doc and in the Take notes for me email, with a Full notes tab if you need the longer record.

Sources: Google Workspace Updates — settings take effect 29 Sep; Quick notes.

What it means for a small business

Risk. Auto notes drop a Doc summary of calls that may include customer names, prices, hiring chat or payment details. On Business Standard/Plus, that can start without anyone clicking “start notes” on a three-person sales or supplier call. UK GDPR still sits with you as the controller — who can open those Docs, how long you keep them, and whether clients know a meeting was transcribed matters more after tomorrow.

Cost. No new Meet SKU in this notice. The change is how Gemini-backed notes behave on seats you already pay for (Business Standard/Plus and listed Enterprise editions). Budget impact is time and cleanup, not a surprise invoice.

Time. Someone has to open Admin console before or on 29 Sep, confirm the default, and tell the team what “on” means for client calls. End users should check Meet settings after rollout so personal preference matches policy.

Customer impact. Client and candidate meetings on Meet become more likely to leave a written trail. That helps follow-up. It also means a wrong share link or a Doc sitting in the wrong Drive folder is a real leak path.

What you can do this week

  1. Open Google Admin console today (Admin → Meet / Gemini note settings) and confirm whether “Take notes for me” for 3+ guest meetings is ON or OFF for your domain — Business Standard/Plus defaults to ON from 29 Sep.
  2. Decide a one-line rule: auto notes allowed on internal standups only, or also on client calls — then set the admin default to match.
  3. Tell the team where notes Docs land and who owns tidy-up after a sales or hiring call.
  4. After 29 Sep, ask each host to open Meet settings and check the “For all meetings I host with 3+ guests” option so personal overrides do not fight the policy.
  5. On one test call, open the Quick notes email/Doc and confirm sharing is limited to people who need it — revoke broad “anyone with the link” if it appears.
